The Atomix Order Fulfillment Process: Step-by-Step

A detailed technical breakdown of the order lifecycle, from the initial eCommerce purchase to final delivery.

The fulfillment process at Atomix is engineered for speed, accuracy, and total visibility. Below is the step-by-step technical flow that every order follows.

1. Order Importation

When a customer completes a purchase on your connected platform (Shopify, Amazon, WooCommerce, etc.), the order is automatically pulled into the Atomix App.

  • Integration Support: Seamless connection with dozens of eCommerce platforms and ERPs.

  • Import Frequency: Orders typically sync within 15 minutes of being placed.

  • Technical Note: If your store connection is set to "Paused," orders will not flow until the connection is set to "Live."

2. Validation and Status Assignment

Once imported, the order undergoes automated system validation and is assigned a specific status:

  • Received: The order is valid and ready for fulfillment.

  • Needs Review: Requires manual intervention due to missing data, address errors, or SKU mapping issues.

  • On Hold: Manually or automatically paused by the brand or Atomix.

3. Pick & Pack Operations

The Atomix warehouse team begins physical preparation following your brand’s specific Standard Operating Procedures (SOPs).

  • Custom SOPs: Execution of specific packaging instructions, marketing inserts, or custom box requirements.

  • Precision Scanning: SKUs are scanned during both the picking and packing stages to eliminate errors.

  • Video Monitoring: Every packing station is recorded for quality control and audit support.

  • Outbound SLA: Orders in "Received" status by 1:00 PM CT are shipped the same business day.

4. Shipping Method Mapping

Atomix applies the mapping rules configured during your onboarding to determine the correct carrier and service level.

  • Service Levels: Economy, Ground, Expedited (2-Day, Overnight), and International.

  • Rate Shopping: Real-time rate comparisons are used to optimize costs for domestic shipments.

5. Dispatch and Carrier Hand-off

The shipping label is printed and applied. The package is then moved to the outbound dock for daily carrier pickup.

  • Fulfillment Nodes: Orders are dispatched from Milwaukee, WI, or Salt Lake City, UT.

  • Carrier Pickups: Daily scheduled pickups are performed with timestamped manifests.

6. Customer Notification and Sync

As soon as the label is generated, the system triggers the following actions:

  • A tracking number is generated.

  • The data is synced back to your eCommerce platform.

  • The customer receives an automated email notification via your store's communication settings.

7. Transit and Final Delivery

Customers can monitor their orders in real-time. Atomix provides transit data and status reports (In-Transit, Delivered, or Failed Delivery) within the App. In the event of an issue, claims for lost or damaged items can be initiated through our Claims Portal.

Summary of SLA and Order Logic

  • Cut-off Time: 1:00 PM CT for same-day shipping (standard). 12:00 PM CT for urgent services.

  • Out-of-Stock Logic: Orders with insufficient inventory remain in "Needs Review" until stock is replenished via a Receiving shipment.

  • Rules Engine: Allows for automated holds based on high-value thresholds, specific international requirements, or Split Order logic.
